Artwork & Proof Approval Policy

Your final proof is the production instruction for your order. Approval means that you authorize WCR Marketing to print, manufacture, decorate, or otherwise produce the order exactly as shown.

What You Must Review

Before approving, carefully review every page, side, panel, and version for:

  • Spelling, grammar, punctuation, capitalization, and placeholder text
  • Business names, personal names, phone numbers, addresses, emails, URLs, and dates
  • Prices, discounts, offers, expiration dates, disclaimers, and promotional claims
  • QR codes, barcodes, coupon codes, and tracking codes
  • Images, logos, image resolution, backgrounds, and transparency
  • Layout, alignment, positioning, crop, bleed, trim, folds, margins, and safe areas
  • Colors, contrast, readability, and text size
  • Dimensions, orientation, quantity, sides, material, stock, coating, and finishing

QR Codes and Links

Scan every QR code before approval and confirm that it opens the correct destination. If you are viewing the proof on your phone, use another phone or device to scan the code.

Confirm the exact website, landing page, file, phone number, email address, social-media page, payment page, or other destination. You are responsible for confirming that the destination is active, accurate, secure, appropriate, and expected to remain available.

WCR Marketing is not responsible for future changes, expiration, suspension, fees, outages, or failures involving a customer-selected domain, website, page, hosting provider, QR provider, phone number, email address, or other third-party destination.

When WCR Marketing Created or Edited the Artwork

Final approval remains the customer’s responsibility even if WCR Marketing created the original design, edited a template, typed the text, recreated an image, generated a QR code, performed preflight, used software-assisted or AI-assisted tools, or made revisions at the customer’s request.

Our design and production teams may identify apparent problems as a courtesy, but design service does not include professional proofreading, independent fact-checking, legal review, trademark clearance, regulatory review, or guaranteed detection of every error.

Color and Production Appearance

A digital proof is not an exact physical color sample. Monitors, phones, brightness settings, lighting, print processes, inks, dyes, toners, coatings, and substrates can produce reasonable color and appearance differences.

Minor variations within reasonable commercial printing and manufacturing tolerances do not constitute a production defect.

Print-As-Submitted Orders

Selecting “print as submitted,” “use my file,” “skip proof,” “upload print-ready artwork,” or a comparable option means that the submitted file is approved without an additional proof.

Changes After Approval

Contact us immediately if you discover an issue after approval. We will attempt to stop the order when reasonably possible, but production may begin immediately and a change or cancellation cannot be guaranteed.

Changes after approval may require a new proof, additional design or production charges, and a revised turnaround time.

FINAL APPROVAL NOTICE: Products are printed from the approved proof. Errors that appear in an approved proof—including incorrect QR codes, URLs, phone numbers, spelling, grammar, dates, pricing, placeholder text, images, layout, or selected specifications—are not eligible for a free reprint, refund, credit, or reimbursement. WCR Marketing remains responsible only when the manufactured product materially differs from the approved proof because of a verified production error.
